Create a System for Your Mail, Email and Phone Calls

By Ben Glass

ADVERTISEMENTS

Everyday I get a ton of emails, phone calls and mail - I'm sure you experience the same thing. These may seem like small distractions, but the next thing you know, they become major ones. Your day can quickly get consumed with replying to all of these people, which ends up taking your attention off the most important tasks at hand. That is why you need to have a system in place for handling correspondence.

Put someone in your office in charge of organizing and prioritizing your mail, so that you only have to read what is important. An email system can get a little trickier. You need to be disciplined enough to only check your email messages at certain times in the day. If you have automatic notification set up to let you know when emails arrive, turn it off. While you are at it, unsubscribe from lists that hardly ever provide you with valuable information. Some lawyers have their emails diverted to their assistants, so the messages can be prioritized, just like regular mail. That may be worth considering.
